How to Manage & Create Exams: The Complete Guide

A comprehensive, step-by-step tutorial on navigating the exam dashboard, filtering assessments, and configuring new Live, Practice, and Offline exams with advanced scoring and assignment settings.


Complete Guide to Managing Exams

The Exam module is the core of your platform's assessment capabilities. Here, you can create timed live tests, open practice quizzes, and manage offline OMR-based exams.

How to get here: Look at your left-hand sidebar menu, scroll down to the Assessment section, and click on Exam.


1. Navigating and Filtering the Exam Dashboard

When you open the Exam page, you'll see a list of all existing exams and a powerful filtering system at the top.

  • Basic Search: Use the search bar to find an exam by its name or slug.
  • Quick Filters: Use the dropdowns to filter by All tags or All courses.
  • Advanced Filters: Click the More button to reveal the Filter by Education Hierarchy section. This allows you to drill down by Level, Group, Subject, Chapter, and Topic.
  • Sorting: Use the sorting dropdown on the right (defaults to Last added (newest)) to sort exams by oldest, newest, recently updated, or time per question.
  • Merit List Exporter: At the top right, you'll see a button to export merit lists across your exams.

2. Creating a New Exam (Step-by-Step)

To build a new assessment, click the green + Create Exam button in the top right corner. A modal will appear. (Note: At the top of the modal, you can use the Saved Templates section to load previous configurations or save your current form as a new template for future use.)

A. Basic Information & Exam Type

  1. Type in your Exam Name.
  2. Select your Exam Type from the three available options:
    • Live Exam: Has a strict timed window, generates a merit list, and hides solutions until the exam ends.
    • Practice Exam: Always open for students, provides instant solutions upon submission, and does not generate a merit list.
    • Offline Exam: Designed for OMR/paper-based tests. Warning: This exam will remain hidden from students on the platform until you manually mark "OMR Scan Completed" in the exam's detail page after scanning their physical answer sheets.
  3. Toggle Mark Attendance From Results if you want the system to automatically mark students as present when their exam results are saved.

B. Scoring & Timing

  1. Enter the Total Marks for the exam.
  2. Enter the Time / Question (sec) (e.g., 60 seconds per question).
  3. Enter the Deduction / Wrong value for negative marking (e.g., 0.25).
  4. Has Written / CQ Section: If your exam includes a written or Creative Question component, toggle this on. A new field will appear where you enter the Written / CQ Marks. The system will automatically calculate the remaining marks for the MCQ section (e.g., Total - Written = MCQ Marks).

C. Exam Window

  1. Select the Start Date & Time.
  2. Select the End Date & Time. (Note: Ensure your timezone is correct, as these times dictate exactly when Live Exams open and close).

D. Categorization & Assignment (Optional but Recommended)

  1. Education Level: Use the dropdowns to attach this exam to a specific Level, Group, Subject, Chapter, and Topic.
  2. Course Assignment:
    • Filter by Tag or select a specific Course from the dropdown.
    • Once a course is selected, check the boxes under Assign to Modules (e.g., check the "Quizzes" module) to place the exam exactly where it belongs in the curriculum.
  3. Assign to Batches: Select specific batches (e.g., "Farmgate - Chemistry Cycle 3") so only students in those specific offline or online cohorts can access the exam.

Once everything is configured, click the green Create Exam button at the very bottom.


3. Managing Existing Exams

Once an exam is created, it will appear in the main table. To manage an individual exam, look to the far right of its row under the Actions column and click the three vertical dots (â‹®).

  • View Details: Opens the dedicated dashboard for that specific exam to view student submissions, manage OMR scans, and see analytics.
  • Get Test Link: Instantly copies the direct URL to the exam so you can share it with students.
  • Update: Re-opens the configuration modal so you can change dates, times, or settings.
  • Delete: Permanently removes the exam from the system.
